Small Business IT Support in Edinburgh: What You Actually Need

When you're running a small business in Edinburgh, IT support can feel like this mysterious black box. You know you probably need it, but what exactly? And how much should you be paying?

After working with dozens of small businesses across Edinburgh, from Stockbridge consultancies to Leith creative studios. I've learned that most small businesses need far less than they think. But what they do need, they really need.

What Small Businesses Actually Need

1. Reliable Email (Non-Negotiable)

Your email absolutely cannot go down. Missing client emails or having your email hacked is a disaster for a small business.

What I recommend: Microsoft 365 Business Basic (about £4/user/month). You get professional email, OneDrive storage, and Teams for video calls. It's reliable, backed up automatically, and you can access it anywhere.

2. Proper Backups (Also Non-Negotiable)

If your laptop dies or gets stolen, can you get back to work the same day? If not, you need better backups.

What I recommend: Cloud backup for everything important. I typically set up OneDrive (comes with Microsoft 365) or Dropbox. The key is making it automatic, you shouldn't have to remember to back things up.

3. Basic Security (Please Don't Skip This)

Cyber attacks aren't just for big companies. Small businesses get hit all the time, and it's devastating.

What I recommend:

  • Strong passwords in a password manager (Bitwarden or 1Password)
  • Two-factor authentication on everything important
  • Windows Defender (it's actually good now, you don't need to buy expensive antivirus)
  • Regular software updates

4. Someone to Call When Things Break

This is where I come in. You need someone who knows your setup, responds quickly, and doesn't charge a fortune for simple fixes.

Most small businesses don't need a £500/month IT contract. You need someone on retainer who can help when you're stuck, whether that's remotely or at your office.

What You Probably Don't Need (Yet)

Let's be honest about what you can skip when you're small:

  • A server in your office: Cloud storage is cheaper and more reliable
  • Expensive phone systems: Teams or Zoom can handle most business calls
  • Complex IT monitoring: Overkill until you have 10+ staff
  • A full-time IT person: You need IT support, not a salary

How to Structure IT Support for Your Business

Here's what works for most small Edinburgh businesses:

For 1–5 people:

  • Microsoft 365 for email and storage
  • IT support on an ad-hoc basis (pay per issue or monthly retainer)
  • Remote support for quick fixes
  • On-site visits when needed

For 5–15 people:

  • Everything above, plus:
  • Regular IT health checks (quarterly)
  • Proper backup verification
  • Network setup that actually works
  • Help with new staff setup and equipment

Red Flags to Watch For

Some IT companies prey on small businesses. Watch out for:

  • Long-term contracts you can't escape from
  • Charging £100+ per hour for simple tasks
  • Trying to sell you equipment you don't need
  • Not explaining things in plain English
  • Slow response times when you have an emergency

What Good IT Support Looks Like

You should expect:

  • Response within 4 hours for urgent issues
  • Clear pricing (no surprise bills)
  • Plain English explanations
  • Proactive advice on what you actually need
  • Someone who takes the time to understand your business
